Check-In

The check-in for the conference starts at 1pm on Friday, January 19, in front of room 202 on the 2nd floor of the physics building of Missouri S&T. All participants must check in at the physics building first. Hotel assignments will be given at check-in. If you have a poster, you can set it up that afternoon.
At 4pm, we will start the tours of physics labs, the nuclear reactor, the Materials Research center, and the planetarium.

How to get to Rolla

Rolla is located approximately half-way between St. Louis and Springfield along I-44. The closest International Airport is St Louis Lambert International Airport (STL), about 100 miles away. We will organize a shuttle bus from the St. Louis airport to Rolla. The bus will depart from the airport at 1:00pm on Friday, January 19 and arrive in Rolla approximately at 3pm. For the return trip, the bus will leave the Missouri S&T campus after the close of the conference at 1:30pm on Sunday, January 21 and arrive at the airport approximately at 3:30pm.

Directions for participants flying into STL

The bus to Missouri S&T in Rolla will be leaving at 1 pm on Friday January 19 from the upper level of Terminal 1 (one level above baggage claim). The bus picks up and drops off at the top deck of Terminal 1 (where people check in to their flights, one level above baggage claims.) The parking spot is at the end of the sidewalk. See picture below:

One of the organizers, Sonya Bahar, will be at the airport to help guide participants where to go. She will have a sign saying CUWiP, and will be standing near the check-in area, one floor above baggage claim, to point the way to the bus.
If you are flying Southwest, you will be arriving at Terminal 2, and will need to come to Terminal 1 in order to catch the bus. There is a shuttle between the terminals that runs every 8-12 minutes. For information, see: https://www.flystl.com/parking-and-transport/transportation.

Participants traveling by car should come directly to the physics building on the S&T campus.

Parking instructions

On Friday, until 4:30pm, you need to use the free street parking around campus. Do not park in any university lots.
Friday after 4:30pm and Saturday/Sunday, you can park in any university lot (except in spaces for designated users and in spaces reserved for people with disabilities.)

Accommodation

Rooms for participants have been reserved at the Comfort Suites and Fairfield Inn and Suites hotels on Old Wire Outer Rd. in Rolla, with two persons sharing a room or three persons sharing a suite. Hotel assignments will be given during conference check-in at the S&T campus. If you are a student participant, do not book hotels yourself. Non-students who are accompanying participants must book the hotels themselves and need to inform us that they will be coming by December 13.
For participants without their own vehicle, we will organize a shuttle service from the hotels to campus in the morning and from campus to the hotels in the evening. Participants traveling by car will be able to park at the hotel and on campus (more detailed parking information coming later).
All participants need to come to campus first for the conference check-in in the Physics Building.

Venue

The conference takes place on the campus of Missouri S&T. Friday’s check-in will be in the physics building. Most events on Saturday and Sunday will take place in the Computer Science building, 500 W 15th Street.

Meals

All meals from Friday dinner through Sunday lunch will be provided. If you have special dietary restrictions, please let us know at registration.

Poster Information

The poster boards can accommodate posters of a size 36″ by 48″. Posters setup will be on Friday, January 19, between 1 pm and 6pm, in the physics building where we also have the check-in.

Departure Information

All participants need to check out of their hotels on Sunday morning before coming to campus. The bus will take you to the physics building. If you will be going on the bus to St. Louis, you may drop off your luggage in the physics building in the morning and retrieve it at 1:20pm, before the bus to STL departs at 1:30pm from the physics building.

CUWiP Travel Support

We aim to make CUWiP accessible to everyone. All meals and accommodation during the conference are organized and the costs are met by CUWiP. You do not need to book or arrange accommodation on Friday or Saturday night. Travel to the conference is usually paid for by your home department. In cases where your own department, or other sources, can not cover the cost, some funds are available to provide support travel to CUWiP so hopefully no one has to miss out on CUWiP for financial reasons. Please note that travel funds are limited and will be assigned on a first-come first-serve basis as long as available. In order to access those funds, please email cuwip@mst.edu to request travel support at the time of registration along with a statement from your department and an estimate of your travel cost.

Travel costs will typically be reimbursed after the conference. Before you book a plane ticket, or any other travel ticket costing more than $100, you must first email the cost and itinerary to cuwip@mst.edu to receive advance permission prior to incurring the cost. Significant costs which are not pre-approved will not be reimbursed.

Code of Conduct

It is the policy of the American Physical Society (APS) that all participants, including attendees, vendors, APS staff, volunteers, and all other stakeholders at APS meetings will conduct themselves in a professional manner that is welcoming to all participants and free from any form of discrimination, harassment, or retaliation. Participants will treat each other with respect and consideration to create a collegial, inclusive, and professional environment at APS Meetings. Creating a supportive environment to enable scientific discourse at APS meetings is the responsibility of all participants.

Participants will avoid any inappropriate actions or statements based on individual characteristics such as age, race, ethnicity, sexual orientation, gender identity, gender expression, marital status, nationality, political affiliation, ability status, educational background, or any other characteristic protected by law. Disruptive or harassing behavior of any kind will not be tolerated. Harassment includes but is not limited to inappropriate or intimidating behavior and language, unwelcome jokes or comments, unwanted touching or attention, offensive images, photography without permission, and stalking.

Violations of this code of conduct policy should be reported to meeting organizers, APS staff, or the APS Director of Meetings. Sanctions may range from verbal warning, to ejection from the meeting without refund, to notifying appropriate authorities. Retaliation for complaints of inappropriate conduct will not be tolerated. If a participant observes inappropriate comments or actions and personal intervention seems appropriate and safe, they should be considerate of all parties before intervening.
